Exhibitor Invites Customer and Prospect Invitation Tool
|
|
|
DIA is offering a free pre-meeting marketing tool, Exhibitor Invites. This program allows you to create your own customized email campaign to send your customers and prospects, offering valuable information about your company, and a chance to register at discounted rates. Exhibitors who made use of this program in 2017 had 80% more booth visitors than those who didn't.

Booth Reminders
|
|
|
As a reminder, all booths are required to carpet or put down flooring in their booth. If you are not providing your own flooring, carpeting may be ordered through Freeman by using the order forms included in the Freeman Online Exhibitor Services Manual. Carpeting will be forced on any booth not carpeted by noon on Sunday unless previous arrangements have been made.
Additionally, DIA provides a standard package with each 10'x10' booth that includes a 6' skirted table, 2 chairs, and a waste basket. Please complete and return the Show Package form to Freeman indicating if you wish to receive the booth package or not.

Electrical Services Reminder
|
|
|
Booth electrical must be ordered through the BCEC (Signature Boston/MCCA) if you need electricity in your booth. A reminder that Exhibitors are responsible for distributing their own electrical cords and plugging in their booth equipment. You may hire Freeman, a third-party Exhibitor Appointed Contractor, or handle this with your own employees. Please review the information included in the BCEC Exhibitor Ordering Guide for more detailed information.
If you are handling your own booth installation, make sure to pack your own extension cords and power strips. Freeman does rent cords if needed. Please see the Freeman Exhibitor Services Manual for ordering information.
As a reminder to our international exhibiting companies, make sure you bring a sufficient number of power converters/plug adapters for any electronics that need to be plugged in to US type outlets.

In addition to the standard booth services offered by Freeman, we'd also like to highlight some of the other official groups offering services to exhibitors this year. Electrical, internet, phone, and other services are through Signature Boston/BCEC; Audio/Visual rentals are handled by Expert'ease; Catering services are provided by Levy Restaurants; Plant and Floral services through Urban Jungle; and lead retrieval scanner rentals are coordinated through Experient.

Make sure to register your staff by Thursday, June 21 in order to save time onsite!

We strongly encourage registration through the Online Registration System as the system will let you know exactly how many full-meeting and booth personnel badges your company receives – and allows you to go in and make replacements and other changes on your own. Only those listed as an exhibit contact will be able to use their user ID and password to access the online system. Please contact Americas.Exhibits@DIAglobal.org with any issues or questions.
Badge Allotments – Each 10x10 booth includes 1 full meeting and 3 booth personnel badges (a 10x20 would include 2 full meeting and 6 booth personnel badges, and so on). Innovators Hub Booths include 2 booth personnel badges. Certain exhibitor marketing opportunities include additional booth personnel badges as well. Once you've used up your allotment, additional staff would need to register as attendees for the meeting at the appropriate registration rate. DIA does not sell additional booth personnel badges.

Our official DIA hotels are filling up fast, and if you have not yet made your hotel reservation, we encourage you to book your room block now. Rates expire at 10:00AM on Monday when data will be transferred to the hotels. DIA will not be able to assist with Boston hotel rates after June 11. Click here to book your room block now.
Only when booking at an official DIA hotel, will your staff enjoy the guaranteed lowest rate, benefit from exclusive amenities, and have access to the DIA Courtesy Shuttle. Shuttle passes are distributed at hotel check-in, and will be strictly enforced.

Please familiarize yourself with the Policies and Procedures for DIA 2018 exhibitors. All exhibitors are expected to adhere to DIA exhibit policies including the Restricted Marketing Zone.

|

DIA 2019 Booth Selection |
|
|
Booth space selection for the DIA 2019 Global Annual Meeting (June 23-27 in San Diego) will be based on an Assignment Order Point System. Exhibitors will be emailed a scheduled appointment time to select their 2019 exhibit space while onsite in Boston.

Celebrate DIA's volunteer spirit and commitment to our mission at DIA Inspires 2018! Join DIA Inspires VIP awards gala to fund scholarships along with very our most senior-level network.
Recognize your colleagues, clients, and potential clients in an elegant setting.
The DIA Inspires 2018 celebration is being held in recognition of the 2018 Inspire Award Winners who in the past years have committed their time in an exemplary way to DIA. We will also honor our Class of 2018 Fellows of DIA for their long-term service and contributions to DIA. The event gives the DIA Board and Executive Leadership Team the opportunity to thank our volunteers and supporters for the energy and enthusiasm you have dedicated to DIA over the past year to drive our mission forward.
To enable your guests to attend, we are charging a nominal fee of $500 per person or $4,500 for a table seating 10 people. Residual proceeds will go to a scholarship fund to help healthcare and life science professionals further their professional development through scholarships to our events.
